Attention all YDS enthusiasts and advocates for youth sports

Volunteers Wanted: Join us in Empowering Young Fencers! 


Are you ready to make a lasting impact in the lives of young fencers? The Foundation for Scottish Fencing need YOUR support to continue organizing incredible fencing events that inspire and empower children. Join our fencing committee and be part of something truly special! We are seeking dedicated volunteers for various crucial roles (all training is provided). If your child does foil why not volunteer for first aid or child protection cover in the morning, if you child does epee or sabre why not provide cover for the afternoon. 


Better still join the committee to ensure we can continue to support youth fencing in Scotland.

No previous experience is required—just a caring heart and a commitment to making a difference. As a volunteer, we ask for your 12-month season long commitment and participation at the YDS (Youth Development Series) fencing events.


Your involvement is vital to the success and continuation of these valuable competitions. Let's come together and ensure that young fencers have the opportunities they deserve to grow and excel!

overview

The Foundation for Scottish Fencing committee comprises of a core of elected office bearers (the Council) and committee members. The Office Bearers shall notionally comprise Chair, Vice-Chair, Hon. Secretary, Hon. Treasurer and Support and Sponsorship Coordinator. If agreed at AGM the role of Vice Chair may be undertaken by either the Hon secretary or Hon Treasurer Office bearer.


Office bearers shall be elected at an annual General Meeting and shall serve for 12 months. At the end of this period the Office Bearers may submit themselves for — or may be put forward for — re-election but in any event shall not serve in post without interruption for more than three years in any single function.


In exceptional circumstances one of the office bearers may serve for a further year in their role to allow continuity of F4SF function on the understanding that recruiting for this role will be prioritised for the coming season.


The committee meets 2-3 times a season (Aug-June) via Zoom. The majority of contact between the committee is via our WhatsApp group, particularly prior to YDS events, all told it’s not a laborious amount of time required to be part of the committee. 


All current members have full time jobs and are the parents of fencers. 


In terms of what type of volunteers are required for the committee, its doers. We really can’t function as a committee solely with “talkers” and “ideas” people. We do need a balance with the majority of the committee being doers who commit to attend each YDS event in various capacities.


We also rely on volunteers to support us in a variety of roles, from referees, first aid, armoury, child protection & welfare, setting up pistes, helping with cafe who do not have to be members of the committee to support the Foundation.



Council and Committee Roles

Chairperson

  • Promote the objectives of the Foundation, its work and objectives
  • Set direction with the support and input from the committee to enable the Foundation to develop and grow.
  • Represent the Foundation when engaging Scottish fencing, British fencing, Scottish Charity Commission, Fencing clubs, suppliers and 3rd parties.
  • Instigate planning and event meetings
  • Ensure good practice and British Fencing policies are followed
  • Ensure committee members have the necessary support and training to carry out activities
  • Chair all meetings.
  • Oversee financial activities
  • Ensure the Foundations email, Instagram, Facebook, AmazonSmile & website are managed and maintained to promote the Foundations and its events.
  • Ensure YDS event medals are ordered in preparation for the following season.

  • Ensure all committee members complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Secretary

  • Minute the committee meetings and AGM
  • Arrange dates for committee meetings subject to committee members availability
  • Arrange conference/zoom calls for committee meetings
  • Set meeting agendas in consultation with chair.
  • Set agenda for AGM in consultation with chair
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Treasurer

  • Responsible for banking cash, cheques and PayPal payments and online banking.
  • Co-ordinate and records payment of supplier invoices and expenses
  • Prepare yearly accounts for submission to OSCR charity commission
  • Maintain accurate records of the Foundations finances
  • Monitor and report on cash flow
  • Present accounts report at the annual AGM
  • Arrange independant examiner for end of year accounts.
  • Set seasons grant budget in consultation with committee.
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Grants and Funding Manager

  • Receives and manages all grant applications made to the Foundation
  • Ensure all application are eligible according to the Grant Overview criteria.
  • Manage and maintain the Foundation application forms to ensure it is only open during grant window.
  • Check quotes for grant applications.
  • Track and manage the grant budget in terms of the councils approved starting budget, grants approved.
  • Share grant applications with the council for the purpose of review/approve/reject.
  • Order the kit associated with approved grants
  • Stamp/label all kit purchased with Foundation grants as being Foundation for Scottish Fencing property prior to dispatch to end club.
  • Provide details of approved grants for the purpose of the AGM report.
  • Seek funding for the Foundation for Scottish Fencing
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

cafe Co-Ordinator

  • Co-ordinates volunteers to serve in the YDS events cafe.
  • Manage YDS cafe food stock in relation to number of entrants & supporters at each event
  • Manage lunchboxes for YDS events
  • Co-ordinate volunteers for making filled rolls, home baking sufficient for number of entrants & supporters at each event
  • Manage, retain and record cafe expenses and receipts.
  • Co-ordinate food shopping in preparation for YDS event
  • ensure poster for allergies is displayed.
  • Manage contactless payments for YDS cafe.
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Competition Co-Ordinator

  • Plan competition dates utilising Scottish Fencing/British Fencing/BUCS/LPJS/ EFC/FIE event calendars to avoid clashes and to consider committee availability.
  • Engage and book suitable and appropriate venues and manage payment with treasurer.
  • Create Risk Assessment for venue.
  • Create and manage the events on Sport80
  • Manage Sport80 entries create event plan with timings, referees, piste allocation in association with DT using entry reports from Sport80.
  • Book scoreboxes/spools from Scottish Fencing (including pickup & return)
  • Co-ordinate volunteers for piste laying/set-up.
  • Co-ordinate and book Floor Managers at events
  • Co-ordinate and book  first aiders at events
  • Co-ordinate and book  Child Protection Officers at events
  • Co-ordinate and book Referees at events base don entry numbers.
  • Co-ordinate and book Armourers at events
  • Ensure all Foundation portable electrical equipment (scoreboxes/kettles etc) are PAT tested.
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

event Roles

Out with volunteering for the committee, you can also volunteer to Floor Manage, DT, First Aid, Child Protection Officer and also help setting up pistes at each event. We will train you and fund any required courses such as first aid and welfare. 

DT

  • Run DT at the events utilising Fencingtime software on the Foundation laptop.
  • Set-up each age group competition on Fencingtime in advance of the events (after entry closes).
  • Manage the printing of each age category poules and DEs including referee allocation based on event plan.
  • Print results so fencers can see results ent.
  • Publish to Fencingtime Live so fencers/parents can see online results.
  • Liaise with Floor Manager to ensure the event runs to the plan/timings.
  • Training can be provided at our events. We have trained numerous people on DT who have successfully ran competitions on their own.
  • Liaise with Floor Manager to ensure the event runs to the plan/timings.
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Event Child Wellbeing & Protection Officer

  • You can volunteer to be CPO cover for a morning or afternoon slot whilst your child is fencing.
  • CPO’s are the first point of contact for young people, volunteers, parents or guardians where concerns about welfare, poor practice or child/vulnerable adult abuse is identified.
  • Complete Sport Scotland Child Wellbeing and Protection in Sport Training (CWPS) modules 1 & 2
  • Complete Sport Scotland Child Wellbeing and Protection Officer (CWPO) Training
  • All training costs will be met by the Foundation for Scottish Fencing
  • Complete PVG disclosure checks with Scottish Fencing
  • Attend Foundation fencing events in the role of Child Protection & Welfare Office.

First Aid

  • You can volunteer to be First Aid cover for a morning or afternoon slot whilst your child is fencing.
  • Complete Emergency First Aid at Work (6 hours) first aid course. 
  • Responsible for first aid arrangements.
  • Provide first aid at events.
  • Ensure First Aid kit is checked, managed and maintained prior to each event.
  • Ensure enough cool packs are available at each event.
  • Record accident, injury or net miss in first aid record book
  • Report accident, injury or near miss online at https://www.britishfencing.com/policy-zone/medical/
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Floor Manager

  • Co-ordinate and manage the event age group competitions
  • ensure events start and end on time (30 mins either way from Plan)
  • manage the event according to the event plan provided by competition co-ordinator
  • ensure fencers and referees are on the correct pistes at the correct times according to the plan
  • manage breaks for referees.
  • Liaise with DT to ensure the event runs to the plan/timings.
  • Troubleshoot any snags to ensure smooth running of the events
  • Complete PVG disclosure checks with Scottish Fencing
  • Complete Sport Scotland  Child and Wellbeing and Protection in Sport (CWPS): Board and Committee training

Piste Set-up and Breakdown

  • You can volunteer to assist with Piste set-ip/breakdown the morning (set-up) or afternoon (breakdown) depending on when your child is fencing
  • For set-up arrive 1 hour before check-in times to assist in setting up pistes, scoreboxes, spools, taping down wires, putting up posters.
  • For breakdown at the end of the competition assist in packing up scoreboxes, spools, lifting tape, taking down posters.(just before medal presentations)

Coronation Champions Awards

 We are thrilled that the Foundation for Scottish Fencing volunteer chairperson David Barbour has been selected as one of the 500 official Coronation Champions!

The Coronation Champions Awards, launched by the Royal Voluntary Service, is all about celebrating the work of extraordinary volunteers across the UK. 


A total of 500 volunteers have been selected as Coronation Champions out of 5,000 nominations and will receive an official Coronation Champions pin badge, a signed certificate from Their Majesties, and an invite to a Coronation Garden Party at Holyrood Palace.
